Pay stub review guide

A clearer way to check pay stub calculations before you rely on them

A pay stub can look polished and still contain a calculation error. PayStubCheck gives recipients, employers, employees, bookkeepers, and other reviewers a structured way to check the numbers shown on a payroll statement without requiring a document upload or employee identity. The goal is simple: independently recalculate what can actually be checked, explain any difference, and clearly identify what cannot be determined from the information available.

01

Check gross-to-net math

Reconcile reported gross pay against taxes, deductions, reimbursements or other net additions, and reported take-home pay. A difference can point to a missing line item, data-entry mistake, rounding issue, or a payroll adjustment that deserves a closer look.

02

Review earnings and statutory calculations

Detailed Review can check hours × rate, reported earning lines, supported U.S. and Canadian payroll calculations, annual wage-base context, and other relationships when the evidence needed for the calculation is actually supplied.

03

Compare year-to-date continuity

When two or three statements are consecutive, Compare Pay Stubs can review whether YTD gross pay, tax lines, deductions, and net pay progress consistently between periods. Strong continuity equations run only when the comparison conditions are confirmed.

Recipient-first utility

Who can use a pay stub calculation checker?

The checker is designed to be useful to anyone who needs to understand the calculations on a pay statement. That includes landlords and property managers reviewing income documents, dealerships or businesses reviewing payroll information supplied by a customer, small employers checking wage statements before issuing them, bookkeepers reviewing payroll records, and employees checking their own pay.

PayStubCheck does not ask a reviewer to decide whether a document is authentic. Instead, it provides transparent calculations that can become one part of a broader review process. Recipients remain free to apply their own documentation, verification, and acceptance requirements.

What gets reviewed

Pay stub calculations the checker can evaluate

Gross pay and earnings

Check whether regular hours and rates multiply correctly, whether reported earning lines add to gross pay, and whether overtime or other line items reconcile to the values entered.

Taxes and deductions

Confirm that the tax and deduction amounts shown on the statement add to their reported totals. Detailed Review can perform supported statutory calculations only when the required payroll evidence is available.

Net pay reconciliation

Independently calculate expected take-home pay from gross earnings, taxes, deductions, and net additions. Differences are shown in dollars instead of being reduced to a vague pass/fail label.

Year-to-date figures

Review whether current-period amounts logically relate to printed YTD values and, when multiple consecutive statements are available, whether the YTD progression reconciles between pay periods.

U.S. payroll calculations

Supported 2026 checks can use PayStubCheck's existing federal and state payroll engines, official-source metadata, annual wage-base context, and evidence-sufficiency rules. Missing W-4 or state-election facts are not silently invented.

Canadian payroll calculations

Supported 2026 Canadian checks use the existing PayStubCheck payroll engine and CRA/Revenu Québec source registry, including distinct CPP/CPP2, QPP/QPP2, EI, Québec EI, and QPIP paths where the required evidence is available.

How it works

How to review pay stub calculations with PayStubCheck

  1. 1
    Choose a review mode.

Use Quick Check for headline gross-to-net arithmetic, Detailed Review for line-by-line and supported statutory calculations, or Compare Pay Stubs for YTD continuity across two or three statements.

  2. 2
Copy the figures exactly as shown.

Enter reported amounts from the statement rather than estimates. The checker works from the evidence you provide and does not create missing payroll facts just to force a result.

  3. 3
    Review each calculation result.

Results are labeled Consistent, Review, Unable to determine, or Not evaluated. The checker explains the calculated amount, reported amount, difference, tolerance, and methodology where applicable.

  4. 4
Use the result as one review signal.

A calculation discrepancy can identify an issue worth investigating. A consistent result means the evaluated numbers reconciled; it does not establish employment or document authenticity.

U.S. coverage

State-by-state payroll calculation methodology

Detailed Review can draw on PayStubCheck's existing U.S. federal and state payroll calculation modules. The methodology page publishes jurisdiction coverage, calculation confidence, official references, and last-reviewed dates so reviewers can see exactly what the tool can and cannot independently evaluate.

Canada coverage

Federal, provincial and Québec payroll review

Canadian payroll review uses PayStubCheck's CRA and Revenu Québec source registry. Coverage includes federal/provincial context plus CPP, CPP2, QPP, QPP2, EI and QPIP calculations where sufficient evidence is supplied.

What a calculation review cannot prove

The Pay Stub Calculation Checker does not determine whether an employer is real, whether the person actually earned the reported income, whether a PDF is original or altered, or whether a recipient should approve an application. Those are separate questions. The checker is intentionally limited to payroll arithmetic, supported statutory calculations, and internal consistency based on the figures entered.

Frequently asked questions

Pay stub calculation checker FAQ

What does a pay stub calculation checker do?

It independently recalculates figures entered from a pay statement to determine whether earnings, taxes, deductions, additions, net pay, and supported YTD relationships are mathematically consistent. Detailed Review can also run supported statutory calculations when enough payroll evidence is supplied.

Can PayStubCheck tell whether a pay stub is real or fake?

No. Calculation consistency is not an authenticity determination. PayStubCheck does not verify the employee's identity, employer identity, employment relationship, income source, or document origin through this tool.

Can I check a pay stub from ADP, QuickBooks, Gusto, Paychex, or another payroll system?

Yes for arithmetic review. Quick Check is provider-neutral because you manually enter the figures shown on the statement. Detailed statutory review depends on supported U.S. or Canadian jurisdiction rules and the payroll information available to the reviewer.

Does the checker support U.S. and Canadian pay stubs?

Yes. Universal arithmetic checks work independently of payroll provider. Current statutory review is designed around approved 2026 U.S. and Canadian payroll rules, with published methodology and official-source coverage information.

Why would a landlord or property manager compare multiple pay stubs?

Two or three consecutive statements can provide additional context because printed YTD figures should normally progress with each regular payroll. PayStubCheck can compare those relationships when the statements are confirmed to be from the same payroll record and there are no intervening off-cycle or correction checks.

Do I have to upload the pay stub or enter personal information?

No. UCC V1 uses manual entry and does not require an employee name, SSN, SIN, address, employer name, email address, or document upload. Quick Check and Compare Pay Stubs run their payroll arithmetic in the browser.

Is the Pay Stub Calculation Checker free?

Yes. PayStubCheck offers the calculation-review modes as free recipient and payroll-review resources.
